Wholesale Operations Coordinator (Full-Time) | Sydney Head Office
 

We have an exciting opportunity to join our Wholesale team at Head Office. This is a pivotal role supporting our wholesale partners globally, ensuring orders are delivered seamlessly, accounts are managed with precision, and systems flow smoothly behind the scenes.

What you’ll do

  • Manage all products uploads to sales software ahead of seasonal sales opening, or new sales opportunities being presented.
  • Oversee all wholesale administration for finalizing seasonal indent, and in-season sales, including transferring of data and reconciliation prior to production handover.
  • Ensure all International Supplier manuals, any special ticketing/packing requirements are provided for production and distribution and follow through with regular checkpoints to ensure seamless delivery process.
  • Monthly SO invoicing prepaid customers utilizing ERP software.
  • AR Management for the WS department inclusive of in-season chasers, updating US AR doc for international showroom visibility, monthly meetings with US sales team, and AU sales team to review support needed.
  • Ensure AR is kept up to date, and all retailers have clear communication in terms of their account status. Support with payment plan, order cancellation, or account hold communication in-line with this to ensure all orders are dispatched within their designated delivery month.
  • International Agency commission reporting.
  • Monthly cancellations, short shipments, and faulty reporting.
  • Process all RA’s and Stock order in a timely manner, ensuring these are processed efficiently and in-line with customer expectations.
  • Customer service to all accounts with timely follow-through on all enquiries including stock requests, returns and exchanges.
  • Responsible for checking all WS Majors PO’s against JOOR/AP21 orders and filing these in majors folders.
  • Calendarising pre-launch timeline for all key stakeholders and following up to ensure expectations are met.
  • Responsible for uploading all product information in majors portals including PIM, & Tradestone.
  • Completing all majors content sheets and returning in timely manner.
  • Review all inbound product schedules to ensure these align with collaborative launch dates and majors delivery windows.
  • Liaise with all key accounts on logistics challenges, inclusive of delayed product, delivery window updates, & short shipments.
  • Review and respond to all EDI’s received, ensuring these are correct before approval, and we receive these in time for each delivery.
  • Support with showroom setup pre-sell.
  • Support with SMS Management for WS Team inclusive of seasonal collection send outs and returns.

What you’ll bring

  • Minimum 2 years’ experience in sales support, wholesale, or fashion administration.
  • Strong organisational skills with exceptional attention to detail.
  • Proficiency in Excel; AP21 and JOOR experience highly regarded.
  • A love for sales and the business side of fashion.
  • Results-driven mindset, with excellent communication and stakeholder management skills.
  • Ability to juggle competing deadlines while keeping things seamless and accurate.
